What Are Logical Functions?

Logical functions are built-in spreadsheet formulas used to test whether a situation is true or false. The result of this true-false test can then be used to trigger one calculation or another.

There are many different logical functions available in spreadsheets. This post will give a brief overview of the following functions:

  • IF
  • AND
  • OR
  • NOT

The IF Function

The IF function checks to see if a condition is met. This function then returns one value if the condition is TRUE and another if it is FALSE.

 

Take a look at the following example.

If a number is greater than 50, it is considered a high number. If the number is less than or equal to 50, it is a low number.

The IF function checks to see if the number is greater than 50. The IF function returns “High” if the number is greater than 50 and returns “Low” if it is not.

The AND Function

The AND function compares several conditions to see if ALL are TRUE.

 

If all conditions are TRUE, the AND function returns TRUE. If any condition is FALSE, then the function returns FALSE.

Take a look at the example below.

If both numbers are greater than 50, the AND function returns TRUE. If either of the numbers is less than or equal to 50, the function returns FALSE.

The OR Function

The IF function compares several conditions to see if ANY are TRUE.

 

If any condition is TRUE, the IF function returns TRUE. If all conditions are FALSE, then the function returns FALSE.

Take a look at the example below.

If either number is greater than 50, the IF function returns TRUE. If both numbers are less than or equal to 50, the function returns FALSE.

The NOT Function

The NOT function changes TRUE to FALSE or FALSE to TRUE.

 

For example, when the NOT function is applied to the previous example, all of the results are switched from TRUE to FALSE or vice-versa.

It is recommended that you avoid using the NOT function whenever possible. This function tends to cause confusion if used too much or too often.
