How to Share a Google Sheets Spreadsheet

In this article, I will answer the question – how do you share a Google Sheets spreadsheet file with others?

You actually have a lot of different options when it comes to sharing your Google Sheets spreadsheet with someone else. You can grant different types of permissions and even make the spreadsheet available to a public audience as well.

And now that you know a bit about the many sharing options available, let’s get into how to share your spreadsheet with others.

Share With Specific Individuals

To share your spreadsheet with specific individuals, start by clicking on the share button near the top-right corner of your window.

In the window that appears, you can type in the email or name of the people you want to share your file with. Then once you select that person, you can add others simply by typing in their name or email as well.

Once you’ve added everyone you want to share your spreadsheet with, you can set their permissions by making them a Viewer, Commenter, or Editor.

  • Viewers can only view the spreadsheet and may not make any changes to it.
  • Commenters may view and add comments to the spreadsheet, but they may not make any other changes to it.
  • Editors can view, add comments, and make changes to the spreadsheet.

Once you set the permissions, you can add a message that will be sent to the selected individuals once you share the spreadsheet file.

And after everything is set up, you can click the send button to share your spreadsheet.

Share With the Public

To make your spreadsheet publicly available rather than sharing it with just a few individuals, you can create a link that takes people straight to your spreadsheet.

Below where it says “General access,” change restricted to anyone with the link.

You can then set the permissions as you did before.

After that, you can click the Copy Link button and then click on Done.

You can now paste the link anywhere you want to share your spreadsheet with others.

  1. Who knew there were so many options for sharing on Google Sheets! I use the “Viewer” and “Editor” option a lot, but it’s good to know a little bit more about what a “Commentor” can do.
