What is a Filter?

A filter is a feature in Google Sheets that allows you to quickly manipulate data in different ways. With a filter applied to your data, you can:

  • Sort the data based on a specific column
  • Filter the data by specific criteria

Here is how these two aspects of the filter work.

Sort the Data

The first thing that a filter allows you to do is to sort a dataset by a specified column. Take a look at the dataset shown below.

Working with the dataset shown above, you can apply a filter to sort the data based on the sales numbers.

Once the filter has been applied, all that’s left is to click on the filter button in the sales column and select Sort A → Z.

The filter acts on the entire dataset and sorts it in ascending order based on the sales numbers.

Filter the Data

The other benefit provided by a filter is the ability to view specific data based on certain criteria. In other words, filter the data.

To better understand this, let’s look at an example. Take a look at the dataset below.

Looking at the dataset, let’s say you want to view only the products that belong to Category A. To see only these products, use the filter.

Start by clicking on the filter button in the category column, and then uncheck Category B and Category C by clicking on them.

With only Category A left checked, click on Ok.

The filter is applied to the data, and you are left with a view of products under Category A.

How to Create a Filter

To create a filter in Google Sheets, follow the steps below.

Start by selecting the dataset (including the headers) you want to apply the filter to.

With the dataset selected, use the Google Sheets menus to select Data and then select Create a filter.

A filter is then applied to your dataset, and you can start using it right away.

If you wish to remove the filter, use the Google Sheets menus to select Data and then select Remove filter to get rid of the filter.
