Create a Dropdown Menu in Excel

Dropdown menus are useful for limiting the type of data the spreadsheet user can enter into a cell. They are also useful for giving the user an easily accessible list of options they can quickly pick from to make data entry a whole lot easier.

How to Create a Dropdown Menu

To create a dropdown menu in Excel, follow the steps listed below.

Step 1 – Create a List of Items

The first thing you need to do when creating a dropdown menu in Excel is to create the list of items you want the user to pick from.

For example, let’s say you want to create a dropdown menu that allows the user to select a specific color. The first thing you need to do is create that list of colors.

Step 2 – Select the Cells to Apply the Dropdown Menu

The next step is to select the cells you would like to apply the dropdown menu to.

In our example, let’s say you want to add a dropdown menu to the range C2:C6. Start by selecting this range.

Step 3 – Select Data Validation

Next, click on the Data tab in the Excel Ribbon, and then click on the Data Validation button.

The Data Validation dialog box will appear.

Step 4 – Setup the Validation Criteria

Under the settings tab in the Data Validation dialog box, select List under Allow.

Under Source, type in the reference for the range that contains your list of colors. In the case of this example, your color list is in cells A2:A6.

Once you’ve set up the validation criteria, you can go ahead and click Ok.

Your dropdown menus have now been created. Try them out by clicking on the down arrow on the right side of the cells that contain the data validation.
